What is in the template

The workbook has three tabs you will use and one hidden tab that holds the dropdown lists.
  • Leads — one row per lead, with the header row and the first two columns frozen so the business name stays on screen while you scroll.
  • Pipeline — counts leads and adds up estimated value by status, and shows follow-ups due today, overdue follow-ups, open pipeline value and your win rate. Nothing to maintain; it reads the Leads tab.
  • How to use — five steps, so anyone you share it with can pick it up.

The columns, and why each one is there

Date added
When you first met or heard of the lead. Tells you how stale it is.
Business name
For B2B leads. Either this or a contact name is enough to start.
Contact name
The person you actually spoke to.
Phone / Email
However they said they wanted to be contacted.
County
Dropdown of all 26 counties, so you can filter to the patch you are working.
Source
Door-to-door, cold call, referral, walk-in, website, event or other.
Status
New → Contacted → Follow-up booked → Proposal sent → Won or Lost.
Next follow-up
The most important column. Overdue dates turn orange, today’s turn amber.
Last contact
When you last spoke, so you never ring someone twice in a day by accident.
Estimated value (€)
Rough deal size. Feeds the pipeline totals.

How to use a lead tracker so it actually works

A tracker is only as good as the habits around it. The reps who get value from one tend to do five things.
  • 1.
    Log the lead before you leave the street. Two minutes in the van beats trying to remember six doorsteps at the end of the day.
  • 2.
    Never save a lead without a next follow-up date. A lead with no next step is a lead you have already lost.
  • 3.
    Start every day with the overdue list. Filter Next follow-up to today and earlier, and ring those before anything new.
  • 4.
    Close leads honestly. Marking a dead lead as Lost keeps your pipeline number real and your follow-up list short.
  • 5.
    Note opt-outs. If someone asks you not to contact them again, write it in Notes and set them to Lost. Under Irish marketing rules you have to respect that — see our cold calling rules guide.

When a spreadsheet stops being enough

A spreadsheet is a perfectly good way to start. It tends to break down in the same places: nobody updates it from a phone, follow-up reminders only work if you open the file, the history of each conversation ends up crammed into one Notes cell, and sharing it with a team means version clashes.

Frequently asked questions

Is the lead tracker template really free?

Yes. There is no sign-up and no email required — the download links go straight to the file.

Does it work in Google Sheets?

Yes. In Google Sheets choose File, then Import, then Upload, and select the Excel file. The dropdowns, date formatting, overdue highlighting and pipeline formulas all carry across. The CSV version works too but only contains the columns and example rows.

Can I use it on my phone?

It opens in Numbers, LibreOffice and the free Excel apps on iPhone and Android. Editing a wide spreadsheet on a phone screen is fiddly, though — that is the problem Chase a Lead is built to solve.

Can I add my own columns?

Add columns to the right of Notes on the Leads tab. Avoid inserting columns in the middle, because the Pipeline tab reads the Status and Estimated value columns by position.
